Reimbursement rules for participants funded by the COST Action:

The supporting documents must be provided (requested by the Grant Holder institution to comply to taxation laws):

      • Paid hotel invoice, travel invoice and ticket as well as boarding pass if applicable
      • All receipts and tickets for local transports between home and the main transport hub (airport, station) at the point of departure, the main transport hub at destination and the meeting venue/hotel (and return).

Without these supporting documents, the GHM reserves the right to reduce the amount of the allowance granted by COST in order to comply with the local regulations.

Optional activity

On Thursday night, from 21:00 to 22:00, there will be the possibility to spend an hour at the hot thermal pool of the San Marco spa (indoor/outdoor swimming pool). Please bring with you a swimming suit, cap and slippers.

Meeting venue & Accommodation:

Participants will be staying either at the venue or in the hotel Terme Mamma Margherita which is just next door.

All rooms booked using the meeting online form are confirmed (including those for which a deposit could not be made). You will not receive an individual confirmation from the hotel.

Arrival on 17 April:

The hotel reception closes at 19:00. If you are due to arrive at the meeting venue after 19:00, let us know in advance by email.

If you are delayed, you must let us know so that we can welcome you and give access to your room (WhatsApp to Melanie (see email) with your name and time of arrival).

At least 3 days prior to arrival, all the participants staying at the Casa San Marco/Terme Mamma Margherita must send a readable scan or photo of their ID card/passport via WhatsApp to +39 351 9071705 or by email to <sanmarco@termesalesiani.it>. This is required to notify the local police of the hotel guests.

Communications recommendation:

Oral Presentations:

Each oral presentation is allocated 20 minutes.
We kindly request that you limit your presentation to a maximum of 15 minutes to allow time for a question-and-answer session afterwards.

For those who have an oral or a flash communication, we ask you either to send the support for your presentation to info@lucescostaction.com, or to bring a USB key to upload your support onto the laptop that will be made available, before the session during which your communication is scheduled.

In order for speaker changes to occur smoothly, we ask that you avoid as much as possible having to plug in your personal laptop (not a possibility for flashes).

Flash Poster Presentations:

Each flash presentation is allocated 3 minutes and max 3 slides, no question-and-answer.
The 9 posters (which must also be prepared) selected for the flash are by: Paula Bosch, Estefania Delgado-Pinar, Elizabeta Dimitrieska Stojkovikj, Sabrina Knospe, Nele Konrad, George Mousdis, Ignazio Roppolo, Nikola Sakac, Mustafa Tabakci. Congratulations to all!

We will have a traditional poster session of 90 minutes.
Posters should be prepared in a vertical A0 format.

Registration for the Global Action Meeting (GAM) of the LUCES COST Action (now closed)

We are very happy to announce that the registration for the Global Action Meeting (GAM) of the LUCES COST Action is now open. It will take place in Abano Terme (close to Padova-Italy). You can easily arrive by plane to Venice and then by public transportation (specific details will be sent to all registered participants closer to the date of the meeting).

This will be a two-day event (18th-19th April 2024) so, we encourage you to organize your agenda to arrive on 17th evening. A Core Group meeting will take place on 17th afternoon and the MC meeting will take place on 19th afternoon.

This GAM will be a great opportunity to meet each other. We program to start with a plenary talk by AP da Silva, that will without any doubt inspire us all and show us how to go from basic research to applied products. We schedule around 20 slots for oral communications that will be distributed in order to cover the different topics of the Action.  We will also have a round table dedicated to how to arrive to final/applied products, animated by some of our industrial WG members.

Prof. Giulia Licini, as the local organizer of the event, has found a very nice place with good prices (Casa san Marco). Full board accommodation (including meals from 17th evening to 20th breakfast) will not exceed 220€.  We can only accept up to 100 participants due to limitations of the meeting room and general venue. We will however only be able to reimburse a limited number of participants with the COST budget, taking into consideration COST rules and inclusiveness criteria. The Daily allowance for those who will be reimbursed will be 130€ (max. 3 days).

You must register using this google form before March 3rd and upload your abstract in case you wish to present your work. It is important that all Action members (or a member of their research group accompanying them) present their work in this meeting, in order to facilitate the dissemination of our results and expertise.
